How Much Does Compliance Training Software Cost? A Small-Team Guide

Short answer: for a 25-person team, platforms that publish their prices range from about $600 to $2,400 a year, and some list no price below 100 users. Platforms that bundle a course library cost more but include the courses; the cheaper ones expect you to bring your own. Ethica is $49 a month (USD) for every 50 employees, which is $588 a year for a team of 25.

Why the cheapest price isn't the whole cost

• Courses. Most platforms either include a library, which raises the price, or expect you to supply courses. A licensed course for each employee can cost more than the software. Before comparing, list which requirements need a course at all: many only need a signed policy, and harassment prevention training in California, New York, Illinois and Connecticut, and Ontario's required training, can be met with the official government courses.
• Seat minimums. A plan that starts at 100 users costs the same for 12 people as for 100.
• Annual contracts. A yearly commitment is fine if the tool works out, and expensive if it doesn't.
• Setup. Some vendors charge for onboarding. TalentLMS and 360Learning say they don't; ask anyone who doesn't publish prices.
• Logins. If every employee needs an account and a password, someone on your team ends up resetting passwords and chasing people who never logged in. For frontline staff without a work email, that is often why training doesn't get done.

What a small team actually needs

• The formats you have: policy PDFs to sign, course files from a provider (usually SCORM), and courses hosted on another website that end with a certificate. Where to get compliance training courses.
• Automatic reminders as each deadline approaches, and after it passes.
• Renewals for training that repeats every year or two.
• A record you can hand over: names, dates, versions and certificates, exportable in minutes. What records to keep.

You can usually skip course builders, gamification and HR system integrations if you hire a few people a month.

Questions to ask before you buy

• Do employees need an account, or do they open training from a link in their email?
• Is there a seat minimum, setup fee or annual contract?
• Which of my requirements do your courses cover, and what do I supply?
• Does it handle policy sign-offs and outside certificates, not just courses?
• What exactly does the record show, and can I export it if I leave?
