How to record a policy or training completed outside Ethica
Open the person's assignment and click Record signed copy for a policy or notice, or Record certificate for a course. Attach the file and the date, and it counts as completed. If the requirement doesn't apply to them, click Mark as exempt instead, give the reason, and attach a supporting document if you have one.
Steps
- 1 Go to Assignments and open the person's assignment.
- 2 Click Record signed copy for a policy or notice, or Record certificate for a course.
- 3 Attach the signed copy or certificate (a PDF or a photo, up to 10 MB) and enter the date they signed or completed it. Add a note if it helps, like "Signed the paper version at orientation".
- 4 Click the button to save. The assignment shows as completed, with the file, the date, and who added it.
- 5 If the requirement doesn't apply to them, click Mark as exempt instead. Give the reason, attach a supporting document if you have one, and save.
Good to know
- Use Record signed copy or Record certificate when the person did it somewhere else. Use Mark as exempt only when it doesn't apply to them. Inspectors read the two differently.
- Admins can't add files to a signature, completion, or upload Ethica collected, so an inspector can trust that a signature in Ethica came from the employee's own link.
- Repeating requirements renew from the date the person signed or completed it, or on their yearly deadline if they have one.
- The person's page shows it's done. Ethica doesn't email them about it, and no further reminders are sent.
- Signed copies, certificates, and supporting documents are included when you export your records.
